She looks you in the eye and guarantees the result. She’s got the great story, the perfect line, the ideal client case pulled out at just the right moment. You walk away pumped. You feel like you found THE solution.

The second one is flatter. She tells you: “look, this should work well, but here are the three cases where it could get stuck, and here’s what we’d do then.” No guarantee. Just honesty.

Nine times out of ten, you sign with the first one. And nine times out of ten, you regret it.

I’m telling you this because it’s a pattern I see everywhere: with my clients, with my prospects, and honestly, with myself first. In short, we buy badly. Not out of stupidity, but out of instinct. And that instinct costs us.

The charlatan always wins the first round

We buy from the person who talks a good game. It’s almost automatic.

Take the one with confidence in his voice, who fires back answers without missing a beat, who never seems to hesitate, who promises your life will change in 30 days. You think: “he sounds like he knows what he’s talking about, he’s so sure of himself.”

Yet confidence and competence are two completely different things.

Often, underneath the confidence, there’s nothing. Nothing concrete. The guy learned to sound like an expert long before he actually became one. He worked on his presentation, not his product. In other words, he polished his pitch, not his delivery.

And you don’t notice it, because all your brain registers in the moment is: “Wow, he’s certain.”

Then you take action. You implement what he sold you. And poof. It doesn’t work as planned. So you go back to him. And he pulls out the classic line: “Oh, sorry, your case was just… different.”

Remember that line. “Oh, sorry.” We’ll come back to it, because it’s the charlatan’s signature move.

ChatGPT is the perfect charlatan

Want an example you probably use ten times a day? ChatGPT.

I love it, I use it all the time, it’s an incredible tool. But it has one fascinating flaw: it’s always right. Well, it always sounds like it.

You ask it a question, it answers with total confidence. Zero hesitation. It assures you its answer is right, its plan will work, its code is correct. Then you actually test it. And sometimes it blows up.

You come back and tell it “this doesn’t work.” And what does it say? “You’re right, sorry for the confusion.”

The exact same line as the charlatan.

That’s exactly the trap. We’ve gotten used to receiving confidence without probability. To hearing guarantees from tools and salespeople who have no idea what’s actually going to happen. And over time, our internal gauge gets thrown off. We confuse “he sounds certain” with “he knows what he’s talking about.” But those aren’t the same thing. They never were.

The real expert has only one flaw: he tells you the truth

Now look at the real expert.

He has a terrible handicap in a sales conversation: he knows his field too well to lie to you.

First, he knows your result depends on ten variables. Some cases will take off, others will struggle. And above all, success depends as much on what you’re going to do as on what he’s going to build.

So he talks to you in probabilities: “In most cases, we see this result. But if that condition isn’t there, we need to adjust.”

And that’s not reassuring.

That’s where the real drama plays out. The honest expert sounds less convincing than the confident charlatan. He has fewer sales tricks, fewer polished lines, fewer calibrated stories. He gives you nuance when your brain is demanding certainty.

Result: we distrust the person telling the truth, and we go running back into the arms of the one who lies to us with a smile. So the cycle starts again. We buy from another charlatan, we get burned again. And naturally, we become even more suspicious, which pushes us even further toward the loudest voice in the room.

It’s a vicious circle, and most business owners are stuck in it without realizing it.

The only thing that never lies is a system

Now let me connect this back to your business. Because everything I just described also explains why you resist installing systems so much.

There’s exactly one thing in your business that’s completely incapable of lying to you: the technology.

A system is binary. It works or it doesn’t. The email went out, or it didn’t. The follow-up happened, or it didn’t. The record is in your tracking system, or it isn’t.

So there’s no room for “oh, sorry.” No story to backpedal with. No polished line to dress up the gap.

Why we run from the one thing that can’t lie to us

And that’s exactly why we avoid systems.

Because a system puts you face to face with your own responsibility. It shows you, in black and white, whether you’re actually doing the work or just going through the motions. It exposes your discipline. Above all, it lights up the gap between what you say you do and what you actually do.

We say we don’t want the tech because “it’s complicated” or “we don’t have time.” The real reason is more uncomfortable: we’re afraid of facing ourselves. Afraid of seeing our own gaps show up, of realizing we let go of things we swore we were on top of.

Except your value was never in those tasks. It’s in the connection with your client, in the value you deliver, in the day-to-day support you give. The system is just there to stop you from dropping the rest of the ball.

Automate client follow-ups: the discipline your motivation can’t hold

And I’m not saying this from some ivory tower. I’m the first one this applies to.

Follow-ups, honestly, are a pain. Doing a fifth, sixth, seventh follow-up with the same person, you always end up asking yourself: “Is this actually doing anything? Am I just annoying people at this point?”

That’s exactly the moment where 95% of people give up. They do two, three follow-ups, feel nothing coming, and quit. Me, on the other hand, the tech forces me to keep going even on the days I don’t believe in it. And here’s why I stick with it.

Automate client follow-ups: the replies that show up right when you’ve given up

One person replied to me after more than 10 months of total silence. Ten months. Zero sign of life, then one morning, out of nowhere, a message. If I’d been relying on my own motivation to follow up that day, she would never have come back onto my radar.

Another one flat-out ignored my messages. The kind of silence that makes you feel pushy, almost awkward. But I kept going anyway, without forcing it, just with consistency. She eventually replied. Today, we work together.

These aren’t exceptions. They’re actually the rule nobody wants to look at: roughly 80% of sales close during follow-up, often somewhere between the fifth and the twelfth touch. In other words, closing happens exactly where your motivation has already checked out.

We both know it: follow-up is a pain. But it’s what closes deals. And that’s what it means to automate client follow-ups: turning that tedious discipline into something that runs on its own, even on the days you don’t have the heart for it. An automated follow-up never loses motivation on the sixth message. You do.

Automate client follow-ups, and it doesn’t replace you: it frees you

Here, I need to clear up a misunderstanding, because it’s the one that stops the most people.

When people hear “automation,” they hear “I’m about to be replaced.” They picture some cold machine taking their place and making them useless.

But my job is to install a system that sets you free.

A real expert’s role has always been to compress your timeline. First, to condense into a few weeks what would take you years to learn through trial and error. Then, to spare you the frustrations everyone else goes through before you. And finally, to help you sidestep the classic traps most people fall into.

And above all, to build something that lasts. Not something that only works today, in perfect conditions, only to collapse at the first hiccup and end in an “oh, sorry.”

That’s the whole difference between the two people from the start. The charlatan sells you a guarantee that will evaporate. The expert builds you a system that will last. In short, a good system is an exoskeleton: it makes you stronger, faster, more consistent, without taking away what makes you valuable.

Don’t spend the time you get back on rest

There’s one last trap nobody talks about, and it might be the most important one.

Let’s say it works. You install your systems, you automate your follow-ups, your tracking, your repetitive tasks. The result: you get time back. A lot of time.

The real question starts right here: what do you do with that time?

That’s the hardest part of a system. Not building it. Deciding where the freed-up energy goes.

The natural temptation is to rest. “Finally, I can breathe.” And it’s fine to breathe, to be present, to go to the pool with your kids, to enjoy life. Nobody’s taking that away from you.

But if all the time you got back just disappears into nothing, you’ve just bought yourself more expensive inactivity.

The real lever is putting that time back into what the machine will never do for you. Things like: human connection, the quality of what you deliver. Day-to-day support for your clients. The conversations that matter. The strategy you never had time to think through.

You automate the mechanical to become more human, not less. That’s the exact opposite of what fear tells you. And that’s when your impact stops adding up and starts multiplying.

Now that you know this, when do you start?

We always tell ourselves “in three months I’ll get to it,” “next year I’ll get this organized.”

But the future doesn’t exist. The perfect conditions you’re waiting for will never arrive the way you imagine them. In the end, the only thing that’s actually real is today.

So the real question, the only one that matters: what’s the concrete action you take right now to become the expert instead of the charlatan? To stop buying empty confidence and start building something solid?

Automate client follow-ups: start with your real numbers

It can be as simple as looking, with real numbers, at how much time you actually lose every week on tasks a system would do better than you. Have you already looked at your real numbers, or are you still flying on feeling? If you want to see it in black and white, take the free diagnostic here. In a few minutes, you’ll find your real rate and the time you could get back. After that, what you do with that time is up to you.

Frequently asked questions

Why automate client follow-ups instead of doing them by hand?
Manual follow-up depends on your motivation, and motivation runs out after two or three tries. A system keeps following up without getting discouraged, even on the sixth message. Since about 80% of sales close during follow-up, that’s often where your entire revenue gets decided.

Will an automation system replace me?
No. It replaces the mechanical, repetitive tasks, not you. It frees up your time for what a machine will never do: the connection with your clients, the quality of what you deliver, day-to-day support.

How do I start automating client follow-ups as a beginner?
Start with one simple sequence: an automatic reminder after a quote goes unanswered. You set the delays, the system sends the messages for you, and keeps track of who replied. Add other scenarios once that one is running.

About the author

Edouard Vilver · Co-founder of Meriaky

Software engineer with 15 years of experience, including more than 7 years at the National Bank of Canada, where he rolled out electronic signatures and migrated systems to the cloud. And if you’re resisting the idea, it’s probably not because “it’s complicated.” Deep down, it’s more uncomfortable than that. Picture two people in front of you. The first one is supremely confident. The charlatan always wins the first round We buy from the person who talks a good game. It’s almost automatic. Take the one with confidence in his voice, who fires back answers without missing a beat, who never seems to hesitate, who promises your life will change in 30 days. You think: “he sounds like he knows what he’s talking about, he’s so sure of himself.” Yet confidence and competence are two completely different things. Often, underneath the confidence, there’s nothing. Nothing concrete. The guy learned to sound like an expert long before he actually became one. He worked on his presentation, not his product. In other words, he polished his pitch, not his delivery. And you don’t notice it, because all your brain registers in the moment is: “Wow, he’s certain.” Then you take action. You implement what he sold you. And poof. It doesn’t work as planned. So you go back to him. And he pulls out the classic line: “Oh, sorry, your case was just… different.” Remember that line. “Oh, sorry.” We’ll come back to it, because it’s the charlatan’s signature move. ChatGPT is the perfect charlatan Want an example you probably use ten times a day? “You’re right, sorry for the confusion.” The exact same line as the charlatan. The real expert has only one flaw: he tells you the truth Now look at the real expert. But if that condition isn’t there, we need to adjust.” And that’s not reassuring. The only thing that never lies is a system Now let me connect this back to your business. Why we run from the one thing that can’t lie to us And that’s exactly why we avoid systems. It’s in the connection with your client, in the value you deliver, in the day-to-day
